Thus, a client — an international company representing a manufacturer of ventilation equipment (HVAC) for industrial facilities — engaged us to translate voluminous project documentation over an extremely short period of time. In essence, it was nothing new — we are not afraid of such orders, and on the contrary, we welcome them!
The essence of the project — monthly receipt of a large amount of materials for translation. The first “batch” contained 531,000 words (approximately 1,900 pages) and needed to be delivered to the client within 16 business days. The deadlines for the translation of such scale were quite stringent, but who would be interested in translating one hundred A4 sheets over a period of one month? Definitely not us.
How we approached the task:
- A project team was assembled and it was decided to use Scrum methodology to work on the project that is often used in the IT field.
- At the initial stage, the team consisting of a project manager, a technical editor, and a recruiter had to determine the method of achieving the goal, distribute the tasks, and report daily to each other through Scrum-meetings. Meanwhile, there was no boss and the responsibility for the result rested entirely on the team.
- The goal was to select and prepare translators specialising in the field of engineering systems to work on the client’s project as well as to ensure the unity of terminology and stable teamwork during the translation of then-current and subsequent “batches” of documents.
- Subsequent efforts were divided into stages:
Development of a testing system (translators passed 3 tests of different levels of complexity);
Search for candidates for the job through internal and external industry-related websites;
Selection and approval of the best specialists to join the team;
Acquaintance of new experts with the developed materials and requirements of the client, performance of small translations.
- In the end, 12 translators were selected — the best of the best.
- Finally, the period we were preparing for so meticulous commenced — 12 translators, an editor, and several DTP specialists acting in concert started working on the project. The project manager organised phased submission of files by the linguists: the translators submitted the translated materials every day to be processed by DTP specialists and the editor.
Previously developed terminological base that helped preserve the unity of terminology during the translation process played an important role in the implementation of this project.
Outcome: the order totalling 531,000 words was completed on time within 16 days. Other orders followed one after another. We still receive materials for translation from the client to this day!
